How to organise an archive in a unit

  1. Archive boxes of a single size. Standard boxes stack into even columns; assorted cardboard wastes up to a third of the space.
  2. Label the short side, not the lid; once boxes are stacked, the side is all you see.
  3. One category and one year per box. Mixed boxes mean going through everything at every audit.
  4. Keep an index in a spreadsheet: box number, contents, date range, destruction year.
  5. Put the destruction year on the label. Once a year you dispose of what has expired instead of paying to store air.
  6. Nothing directly on the floor — the bottom box goes on a pallet or a shelf.

Which unit for documents

Unit S (3 m²) holds several hundred ring binders or a few dozen archive boxes stacked in columns: the archive of a typical small company over several years. Larger collections, especially once technical and design documentation is included, call for unit M (6 m²). You can change size during the rental, so the archive grows with the company.
